Gloria ButlerBy Gloria ButlerOctober 26, 2024No Comments6 Mins Read16 Views

Every entrepreneur wishes to venture into the international market. However, cross-border trade involves complex legal documents and considerable compliance requirements. For any trader, the key element that ensures success lies in managing proper customs procedures and regulations.

To begin with, an Import Export Code is required when shipping products. An IEC is like a passport for your goods. Other significant documents that are needed to clear customs are the Shipping Bill, Bill of Lading, Export General Manifest, and AD code.
The AD Code is, in fact, the authorized dealer code, which is the unique number issued by a bank where the current account of a firm is maintained. This code is essential for the release of customs, without which goods cannot be imported or exported.

Are you a seller looking to expand your business and reach global buyers? In this blog, we will demystify the concept of AD (Authorised Dealer) codes, the benefits of an AD code, how to apply for them, and other aspects of AD codes. What is an Authorized Dealer Code (AD Code)?

The AD (Authorized Dealer) Code is a 14-digit numerical code provided by the exporter’s bank after they have registered for an Import Export Code (IEC) through the Directorate General of Foreign Trade (i.e., DGFT). This code is issued on the bank’s letterhead and is essential for conducting international trade. Notably, the AD Code has lifetime validity, meaning it does not expire as long as there are no changes to the associated bank account.

What does an AD Code signify?

An AD Code is essential for three major purposes of international shipping trade:

    1. For the Exporters: An Indian exporter must have an AD Code since he would be required to carry out foreign exchange transactions wherein payments of exports are received.
    2. For the Importers: It assists the importers, and they require an AD Code while undertaking the payments, and such specific transactions are recorded and authenticated.
    3. Trade Documentations: The AD Code is one element of many trade documents like the Bill of Lading, Shipping Bill, and Letter of Credit, via which foreign exchange transactions can be tracked and documented.

The AD Code does Much more for your Export/ Import Business

The AD Code is a pretty indispensable element in helping import-export operations with numerous advantages as follows :

    1. Tracking Foreign Currency Trades: The government tracks foreign currency transactions through AD code registration. The process increases the transparency and stability of the economy as customs officials are capable enough to monitor those conversions that importers and exporters undertake.

    2. Compulsory for Clearance at Customs: Clearance at customs requires an AD code registered for the generation of shipping bills. Without an AD code, traders experience immense hassles in their operations.

    3. Direct Deposit of Government Benefits: This way, the government benefits, incentives, or subsidies can directly deposit money into an exporter’s bank account directly, making access to financial support much easier.

    4. Simplifying Import Export Processes: Obtaining an AD Code simplifies the import-export process for startups and businesses entering the international market. It acts as a standardized identification for foreign trade activities and enables the government to maintain an overall record of all dealers engaged in international trade.
In summary, the AD code is essential for compliance with customs regulations, foreign transaction tracking, facilitation of government benefits, and simplifying trade operations.

    Validity of the AD Code

The AD Code is valid for a lifetime unless the bank account related to the AD Code is changed. The AD Code letter must be kept safe for customs clearance and later export operations.

Documents Required for AD Code Enrollment

To get AD Code, you will need the following documents:

    1. Bank Certificate – As per Customs Public Notice No. 93/2020 dated 29.07.2020, you will need to take this from your bank, and it shall be in the format prescribed.

    2. Company PAN Card: Copy of the company’s PAN Card, stamped and signed.

    3. IEC Certificate: Import Export Code certificate, stamped and signed.

    4. GST Certificate: Copy of Goods and Service Tax certificate, with the company’s seal and signature.

    1. Canceled Cheque: Canceled cheque from the company’s bank account, with the company’s name and account details.

      6. Class 3 DSC: This online submitting certificate would assure authenticity and security.

How to Apply for an AD Code: Step-by-Step Guide

To obtain a single AD Code for all the ports to which your shipments will travel, you will need to follow these steps:

Step 1: Visit Your Business Bank: Visit your present business bank, with whom you have your current business account. This is the same bank that will issue your AD Code.

Step 2: Apply for the AD Code: Write to the branch manager requesting your AD Code. Submit all forms and attachments required by your bank.

Step 3: Get the AD Code Letter: Upon acceptance of your application, the bank will give you an AD Code letter. The letter will be on the letterhead of the bank and will serve as proof of registration.

Step 4: Get registered at Each Exporting Port: Take the AD Code letter to each port of export for registering. Using this letter, apply for the AD Code at every port. Provide the letter to the customs authorities of every place.
There is no online service by which to obtain an AD Code. The whole process has to be accomplished personally at your bank and the customs authorities at each exporting port.

The key takeaways from the blog

The AD codes are quite crucial because once they are acquired, sellers manage to reach a vast set of potential buyers, thereby increasing sales. Understanding the importance of an AD Code and how to formally register for such a code will optimize operations while ensuring compliance with international trade regulations.
If you are looking to start a business relating to import-export, the first and foremost thing you need to prepare is the legal formalities so that the transactions can take place smoothly.
